Task (Feature)

MYCITO* makes it easy to manage TASK AND ISSUE tracking by allowing OPERATIONAL users to create one or more PROJECTS to track TASKS AND ISSUES assigned to CUSTOMER specific PROJECT RESOURCES. TASKS AND ISSUES can be categorised and grouped within DELIVERABLES where RESOURCE TIME and PROJECT EXPENSE tracking can be done. TASK AND ISSUE severity is classified as 24 HOUR, Critical, High and Normal which defines due dates and so drives assigned RESOURCES to rapidly resolve them. TASKS AND ISSUES can be bounced between RESOURCES with full JOURNAL tracking for detailed reporting before closure.

The assignor and assignee RESOURCES, PROJECT MANAGERS and PROJECT NOTIFIERS are copied into all email notifications to stay abreast of TASK AND ISSUE changes throughout the lifecycle. Both OPERATIONAL and CONTRIBUTING users can view, open, bounce, send for review, journal and close TASKS AND ISSUES within PROJECTS where they are project managers or where TASKS AND ISSUES has been assigned to them or by them. GUEST users can not access this functionality.

MYCITO* also enables OPERATIONAL users to create SUPPORT FORMS (wizards) that can be publicly available on a website or securely shared within a portal to allow users to raise TASK AND ISSUES on a specific PROJECT. Various reports are available on TASKS AND ISSUES from different perspectives.

TASK Management

 

1 Task
It is a good practise to search for the TASK before attempting to create a new TASK. This will prevent duplicated entries.
2 Located
TASKS can be searched on the open or closed task reports.
3 Task
If you are unable to locate the TASK, you can create a new TASK.
4 Task Profile
If you located the TASK you should view the TASK profile.
5 Edit
The TASK profile can be edited.
6 Delete
All TASKS can be deleted from the list but not from the system.
7 Restore
Any deleted TASK can be restored. The deleted TASK can be found under the deleted entries list and be restored from there.
8 Journal
A TASK requires that the user makes a journal entry before it can be closed.
9 CLOSED
Once the TASK is complete the TASK can be closed.
10 Project
A PROJECT is required.
11 Number
The TASK will be auto numbered.
12 Email Task
The system will auto email the assignee and assignor when the a TASK is created.
13 Email Journal
The system will auto email the assignee and assignor when a Journal entry was made on the TASK.
14 Email CLOSED
The system will auto email the assignee and assignor when the TASK is closed.
15 OPEN
A closed TASK can be reopened.
16 Email OPEN
The system will auto email the assignee and assignor when the TASK is reopened.

 

How To Create a Task

Follow these steps to CREATE A TASK.

  1. View the PROJECT PROFILE.
  2. Click on the EDIT TASKS tool in the toolbar.
  3. Open the NEW ENTRY form, complete the required fields and click SUBMIT.

How To Move Task

Follow these steps to MOVE TASK.

  1. View the TASK PROFILE.
  2. Click on the MOVE TASK tool in the toolbar.
  3. Follow the STEPS and click SUBMIT.

How To Grab Task

Follow these steps to GRAB TASK.

  1. View the TASK PROFILE.
  2. Click on the GRAB TASK tool in the toolbar.

How To Notify Resources

Follow these steps to NOTIFY RESOURCES.

  1. View the TASK PROFILE.
  2. Click on the NOTIFY RESOURCES tool in the toolbar.

How To Create Journal

Follow these steps to CREATE JOURNAL.

  1. View the TASK PROFILE.
  2. Click on the CREATE JOURNAL tool in the toolbar.
  3. Follow the STEPS and click SUBMIT.

How To Add Journal

Follow these steps to ADD JOURNAL.

  1. View the TASK PROFILE.
  2. Click on the EDIT JOURNAL tool in the toolbar.
  3. Add a NEW ENTRY.
  4. Complete the FORM and click SUBMIT.

How To Review Task

Follow these steps to REVIEW TASK.

  1. View the TASK PROFILE.
  2. Click on the REVIEW TASK tool in the toolbar.

How To Bounce Task

Follow these steps to BOUNCE TASK.

  1. View the TASK PROFILE.
  2. Click on the BOUNCE TASK tool in the toolbar.

How To Cancel Task

Follow these steps to CANCEL TASK.

  1. View the TASK PROFILE.
  2. Click on the CANCEL TASK tool in the toolbar.

How To Close Task

Follow these steps to CLOSE TASK.

  1. View the TASK PROFILE.
  2. Click on the CLOSE TASK tool in the toolbar.

How To Task Completed

Follow these steps to TASK COMPLETED.

  1. View the TASK PROFILE.
  2. Click on TASK COMPLETED tool in the toolbar.
